Add page numbers to your thesis PDF

Your thesis is one PDF but has no page numbers? Add them in your browser, skip the title page and keep your table of contents right. No upload.

Your thesis is done. Chapters from separate files, appendices from Excel, a title page from Canva, all neatly merged into one PDF. Only then do you notice: there are no page numbers anywhere. Back to Word to redo the whole layout? No need. You can put the numbers straight into the PDF.

First: can you do it in your source?

If you’re still working in a single Word or LaTeX document, add the page numbers there. That way you can use different numbering per section, and your table of contents updates automatically.

The PDF route is handy when your document is made of separate pieces, when you add appendices at the end, or when all you have left is the PDF. With a thesis, dissertation or capstone project, that happens more often than you’d think.

How to number your PDF

  1. Open the Add page numbers tool.
  2. Drag your PDF into the box or click to choose it.
  3. Pick a style. Choose 1, 2, 3…, Page 1 of N or - 1 -.
  4. Choose where the number goes. Under Position, pick the bottom or the top, left, center or right. The default is bottom center.
  5. Set the start number if you need to. Change Start at number, and tick Don’t number the first page (cover) if your title page has to stay unnumbered.
  6. Click Add page numbers and download the result.
  7. Scroll through the file. Are the numbers in the right place, and do they never clash with a footer or a figure?

For a thesis, you’ll usually just pick 1, 2, 3… at the bottom center or right. Page 1 of N is more useful for forms and contracts than for a thesis.

Skipping the title page and table of contents

Many programs want the title page to have no number. The tool can do that: tick Don’t number the first page (cover). Note that the title page then doesn’t count. The page after it gets the start number, 1 by default. Should that page carry number 2? Then set Start at number to 2.

Want to skip more pages, like a preface and a table of contents? The tool can only skip the first page. It can’t start numbering from a page you choose. This workaround does the trick:

  • Split off the front pages. Use Split PDF to separate them (for example pages 1 to 4) from the rest.
  • Number the second part. Use the start number your program asks for.
  • Put both parts back together. Use Merge PDF.

Afterwards, check that the numbers in your table of contents still match the real pages. The tool doesn’t change your table of contents.

Your thesis stays with you

A thesis you haven’t submitted yet is unpublished work. Sometimes it also contains data about survey respondents, patients or an internship company. Many online tools upload your file to their server, just to put a few numbers on it.

With PDFCommunity, the numbering happens in your browser. Your files are processed on your own device and not uploaded. Check it yourself in your browser’s network tab; Verify that no PDF is uploaded shows you how.

Still need to merge your chapters? Read How to merge PDFs without installing software first.

Good to know

  • Existing numbers stay. The tool doesn’t detect or remove numbers that are already in your PDF. If one chapter already has numbers, you’ll get two. Remove those in the source first.
  • Watch your footer. If there’s already a logo or text at the bottom, choose another position.
  • Roman numerals (i, ii, iii) for the front pages aren’t available: the tool only offers 1, 2, 3…, Page 1 of N and - 1 -.
  • Large files on a phone can be slow. A thesis with lots of figures is better numbered on a laptop.
  • Always check the result yourself before you submit, and follow the guidelines of your program or supervisor.

Frequently asked questions

Can the title page stay without a number?

Yes. Tick Don’t number the first page (cover). The page after it then gets the start number; if you want that to be 2, set the start number to 2.

Can I start numbering at the introduction?

Not directly: the tool can only skip the first page. Split off the front pages, number the rest with the start number you need, and merge both parts back together.

Is my table of contents updated?

No. The tool only puts numbers on the pages. Check yourself that your table of contents is still right.

Can I number several PDFs at once?

Yes, you can add several files at once. Each file gets its own numbering from the start number, and you download them together in one zip.

Is my thesis uploaded?

No. Everything happens in your browser; your files aren't uploaded.
